Terms of Service

Effective: July 2026

These terms are an agreement between you and TradeBill covering your use of the TradeBill web application and iPhone app. By creating an account or using the service you agree to them.

The service

TradeBill lets contracting businesses create estimates, invoices, and change orders, record payments, collect customer approvals and signatures, and share a private billing portal with their customers. Features may change as the product evolves.

Your account

  • You are responsible for the accuracy of what you bill and for safeguarding your sign-in credentials.
  • Portal links you share act as access keys to that customer’s billing history — share them only with the customer they belong to.
  • You must have the right to store the customer information you enter.

Your data

Your business data belongs to you. We store and process it only to run the service, as described in the Privacy Policy. You can delete your login, or the account owner can permanently delete the whole company and all of its data, at any time from Settings.

Acceptable use

Don’t use TradeBill to send unlawful, fraudulent, or deceptive invoices; to harass anyone; to probe or disrupt the service; or to access data that isn’t yours. We may suspend accounts that do.

Fees

Subscription pricing and any per-payment processing fees are shown in the product before they apply. During the launch period no subscription is billed.

Payments

Recording an offline payment (cash, check, Zelle) is bookkeeping only — TradeBill does not move that money. If online card/ACH payments are enabled for your account, processing is provided by a third-party payment processor under its own terms.

Customer processing fees (surcharging)

TradeBill lets you optionally pass a card-processing fee to your customer as a disclosed checkout surcharge (capped at 3% on cards; a flat fee on ACH). The fee is shown to the customer before they pay and itemized on their receipt, and it is never applied to debit cards that identify themselves as debit — card networks prohibit debit surcharging. Surcharging is restricted or prohibited in some states and localities; you are responsible for confirming it is lawful where you do business before enabling it, and for any registration or notice your card brands or processor require.

Text messages

TradeBill can send transactional text messages (invoice, estimate, payment-reminder, receipt, and review-request notifications) to your customers on your behalf. Texts are sent only to customers you have marked as having agreed to receive text messages, and you are responsible for obtaining and documenting that consent before enabling texts for a customer, and for honoring any revocation communicated to you directly. Every message includes opt-out instructions (“Reply STOP to opt out”), and a STOP reply stops further texts to that number immediately. Message and data rates may apply to recipients; message frequency varies with your billing activity. TradeBill sends fixed transactional templates only — the service may not be used for marketing or free-form text campaigns.

Disclaimers

The service is provided “as is” without warranties of any kind. TradeBill is a tool, not a party to the contracts between you and your customers, and does not provide legal, tax, or accounting advice. To the maximum extent permitted by law, our liability for any claim related to the service is limited to the amount you paid us in the twelve months before the claim arose.

Termination

You can stop using the service and delete your account at any time. We may suspend or terminate accounts that violate these terms, with notice where practical.

Changes

We may update these terms; material changes will be announced in the product. Continued use after a change means you accept the updated terms.
