Privacy Policy
Effective: July 2026
TradeBill is invoicing software for trade contractors. A contractor (our customer — the “account holder”) uses TradeBill to create estimates, invoices, and change orders, record payments, and share a private billing portal with their own customers. This policy describes what we store and how it is used.
Information we store
- Account data — company name, user names, email addresses, and hashed passwords for the people who sign in. Passwords are stored only as bcrypt hashes.
- Customer records — names and contact details the account holder enters for their own customers, so documents can be addressed and delivered.
- Billing documents — estimates, invoices, change orders, line items, payments, and payment history the account holder creates.
- Signatures — when a customer approves an estimate or change order they draw a signature; we store the signature image, the typed name, a timestamp, and the request’s IP address and browser identifier as an approval audit trail.
- Photos & documents — files the account holder attaches to jobs (for example jobsite photos or contracts), plus an optional company logo.
- Portal activity — when a customer opens their private portal link we record basic events (page viewed, document downloaded, decision made) so the contractor can see the status of what they sent.
- Email log — a record of the emails the product sends on the account holder’s behalf (recipient, template, delivery status).
What we do not do
- We do not run third-party analytics or advertising trackers.
- We do not sell or rent any data to anyone.
- We do not read your business data except to operate the service, investigate a support request you raise, or comply with the law.
Service providers
We use infrastructure providers to run the service: application hosting, a managed database, file storage for uploaded photos and documents, and an email delivery provider for the emails sent on your behalf. These providers process data only to provide their service to us. When online card/ACH payments are enabled, payment card details are collected directly by our payment processor and never touch TradeBill’s servers.
Customer portal links
Each of the account holder’s customers gets a private portal link. Anyone who has the link can view that customer’s billing history with that contractor, so treat portal links like the private documents they contain. Portal pages are excluded from search-engine indexing.
Data retention & deletion
Data is kept for as long as the account exists. Every user can delete their own login from Settings, and the account owner can permanently delete the whole company — including all customers, documents, payments, uploaded files, and signatures — from Settings (web) or the iPhone app. Deletion is immediate and irreversible.
